Privacy Policy
FamilyVault has no cloud storage, cloud vault, or cloud synchronization service. We do not upload, back up, or store information from the FamilyVault app in the cloud. All vault information is stored locally on devices you control and moves only when you explicitly use a local, direct device-to-device feature. This policy explains how those local features work.
Effective date: August 26, 20261. Scope and who we are
This Privacy Policy applies to the FamilyVault mobile and desktop application and the FamilyVault website at familyvault.volacrm.com. In this policy, “FamilyVault,” “we,” “us,” and “our” refer to the team operating the FamilyVault application and website.
The FamilyVault app does not connect to a FamilyVault cloud storage service. It does not upload your vault, documents, passwords, notes, reminders, device records, or synchronization data to our servers. There is no FamilyVault cloud account or remote cloud backup for vault information.
The app and website have different privacy characteristics. Visiting the public website, downloading the app, or sending a support request necessarily connects to the internet and may create ordinary website access or support records. Those interactions are separate from the FamilyVault app and never upload or expose your local vault contents.
2. Information you choose to keep in your vault
FamilyVault can store information that you enter, import, photograph, or choose to synchronize, including:
- Passwords, usernames, email addresses, websites, account details, and secure notes.
- Wi-Fi network names, Wi-Fi passwords, and other connection details.
- Passports, identity documents, driving licences, visas, permits, insurance details, medical cards, bills, invoices, receipts, warranties, and other documents or images.
- Document dates, expiration dates, payment dates, one-time or recurring reminders, and related notes.
- Family or device display names, item visibility choices, trusted-device records, synchronization records, and the dates on which items were created or updated.
This information is processed to provide the features you select. Vault contents are encrypted and stored locally on your device, not uploaded to a FamilyVault-operated cloud vault.
3. How local security and unlocking work
FamilyVault uses encryption to protect vault information stored on your device. Your master password is used to unlock the vault, and device-protected secure storage may protect the application keys required for local security features.
If your device and app version support quick unlock, FamilyVault can ask the operating system to verify you using a device credential or biometric mechanism such as Windows Hello or Face ID. Biometric information is handled by your device's operating system; FamilyVault does not receive, store, or transmit your fingerprint or facial template.
Features such as automatic locking, password generation, and clipboard clearing help reduce exposure, but no system can eliminate every risk. Protect your devices, operating-system accounts, master password, and any exported or backed-up information.
4. Trusted devices, family sharing, and home synchronization
When you choose to pair devices or approve family members, FamilyVault can discover approved devices on your local network and exchange encrypted information directly. Synchronization may occur when approved devices are available, after changes are made, or during a scheduled background catch-up when supported by your device.
- Personal device synchronization can transfer the items needed to keep your own approved devices consistent.
- Family synchronization transfers only information that you have made available to approved family members.
- Pairing and synchronization may use device or family display names, device identifiers, public keys, item identifiers, item timestamps, and limited transfer or connection metadata.
- Conflict handling may compare item identifiers and update times to preserve newer edits or identify conflicting changes.
- Removing a trusted relationship helps prevent future synchronization with that device, but it does not automatically erase information that was previously received and saved by another person or device.
Your vault is not uploaded to a FamilyVault-operated cloud server as part of the normal local synchronization process. Your network equipment and operating system may independently process ordinary local-network connection information.
5. Encrypted QR sharing, backup, and recovery
FamilyVault can pair devices, share selected items, or help transfer or restore encrypted information using QR codes or other supported encrypted transfer mechanisms. Item-sharing QR packages are prepared for the intended approved recipient and are designed to contain encrypted transfer data rather than readable vault contents.
The receiving device may show a limited preview and request confirmation before importing information. Large transfers can be divided into multiple QR frames. Anyone with access to a device screen, saved QR image, transfer file, or backup location may capture that material, so only use these features with people and devices you trust.
If you explicitly export information in an unencrypted format, such as CSV where available, that exported file may contain readable personal information and is protected only by the destination and handling you choose.
6. Camera, photos, and on-device text recognition
FamilyVault requests camera or photo-library access only when you choose a feature that needs it, such as scanning a document, recognizing login details, reading a QR code, or selecting an existing image.
Text recognition and document analysis are performed on the device using available platform capabilities. FamilyVault may identify a document type, suggest useful fields, detect dates, or propose an expiration or payment reminder. You can review and edit the result before saving.
For credential scanning, FamilyVault does not automatically save a separate copy of the scanned credential image. If you choose to attach or store a document image, that image becomes part of the vault information you elect to keep. Access to photos and cameras remains subject to your operating-system permissions.
7. Reminders, notifications, and background processing
If you create or accept reminders, FamilyVault stores reminder details with your local information and may ask permission to show notifications. Reminders can relate to document expiration, payment dates, or schedules such as weekly, monthly, or yearly events.
Your operating system may process notification text, delivery schedules, background tasks, and restart events to display reminders or continue supported synchronization. Notification content can appear on a lock screen depending on your device settings. Review those settings if reminders contain sensitive information.
8. Permissions and why they are requested
- Camera: scan QR codes, documents, or login information when you initiate scanning.
- Photos or selected files: import an image or document that you explicitly choose.
- Local network, Wi-Fi, and network status: discover and communicate with trusted nearby devices and determine whether a suitable network connection is available.
- Notifications: display reminders, important alerts, or relevant synchronization information where supported.
- Background operation or device restart: restore scheduled reminders or run supported background synchronization tasks.
- Device authentication: request operating-system verification when you choose a supported quick-unlock feature.
- Internet access: permit supported network functionality, app distribution or updates, or a support interaction you initiate; it does not create a FamilyVault cloud vault.
Availability and permission names vary by operating system, app version, and device. You can generally change permissions in your device settings; refusing a permission may disable the related optional feature.
9. Website visits, downloads, and support requests
When you visit our website or download an application package, hosting, content delivery, security, or infrastructure providers may process standard technical information such as your IP address, request time, requested URL, browser or device information, and basic security or access logs. This processing is separate from your encrypted app vault.
If you contact us using the website's contact form or another support channel, the information you submit—such as your name, email address, message, and technical details you choose to provide—may be processed by our customer-support or contact-form service providers so we can respond.
The website may load resources from infrastructure or service providers needed to deliver its pages or contact functionality. Those providers receive the technical information required to handle the relevant request. Their handling is governed by their own service terms and privacy practices.
10. Advertising, selling, and third-party access
We do not sell your vault contents or disclose them to advertisers. FamilyVault is not designed to upload your stored passwords, documents, notes, or family vault records to a FamilyVault-operated cloud service for advertising, profiling, or resale.
Information can be disclosed when you choose to share it, synchronize it with approved devices, export it, send a support request, use a third-party platform, or when disclosure is required to comply with applicable law in connection with information that is actually available to us.
App stores, device operating systems, hosting providers, and support services may independently process account, transaction, diagnostic, or technical information according to their own policies.
11. Data retention and deletion
Your vault information remains on your devices until you delete individual items, reset or uninstall the app, remove application data, or otherwise erase the relevant device storage. Operating-system secure-storage entries, exported files, backups, screenshots, and copies synchronized to other devices may require separate deletion.
Because we do not host a central cloud vault, we cannot remotely retrieve or delete the vault stored on your personal devices. If you shared information with a family member or another approved device, you must ask the recipient to delete their existing copy where appropriate.
Support messages and website or security logs may be retained for as long as reasonably necessary to respond to requests, maintain service security, resolve disputes, or satisfy legal obligations.
12. Your choices and privacy rights
You control what you store, which items are visible to family, which devices you approve, whether you enable notifications or scanning, and what information you send to support. You can manage app permissions through your device settings.
Depending on where you live and the information involved, applicable law may give you rights to request access, correction, deletion, restriction, portability, or information about the processing of personal data, and to object to certain processing or contact a data-protection authority.
For information stored only in your local vault, you ordinarily exercise these choices directly in the app or on your device. For information you send to us through website or support services, contact us using the support details below.
13. Children and family use
FamilyVault may be used to organize information for a household, but a parent, guardian, or other authorized adult should decide what information about children is stored or shared and should manage device access appropriately. Do not enter or share a child's sensitive information unless you are authorized to do so.
We do not knowingly request children's vault information through our website or support forms. If you believe a child submitted personal information directly to us through a support channel without appropriate authorization, please contact us.
14. International processing
Your local vault remains on the devices you choose, including devices that may be in different countries. Website hosting, application distribution, and support service providers may process technical or contact information in locations where they or their infrastructure operate. Where applicable, we seek to use appropriate safeguards for those service-related transfers.
15. Changes to this policy
We may update this Privacy Policy to reflect product changes, operational requirements, or applicable law. The effective date at the top of this page identifies the latest published version. If we introduce a material change to how vault information is handled, the policy will be updated before or when that change becomes effective.
16. Contact us
If you have questions about this policy, a privacy request, or FamilyVault's data handling, use the FamilyVault support page or the contact form on the FamilyVault website.
When contacting us, provide only the information necessary to explain your request. Never include your master password or unencrypted vault contents.
